Instructions

Submitting Calendar, ListServ & Show and Go Rides:

  1. If needed, review Guidelines for Club Miles (https://wrcc-in.org/page/club-mile-guidelines).
  2. Fill in the fields for:
    • Date, Ride Type (select Calendar, ListServ, Show and Go), Location
    • Leader (required)
    • Sweep (optional)
    • Category, Mileage, Average Speed
    • Riders
  3. If the mile coordinator should be aware of anything, please make mention of it in Notes field
    • The Notes section is also used for New Riders to be added to the database
  4. If miles vary between riders, please see instructions at bottom.

Submitting Out of Town Rides

  1. If needed, review Guidelines for Club Miles (https://wrcc-in.org/page/club-mile-guidelines).
  2. Fill in fields for:
    1. Ride Date, Ride Type (Out of Town), Location
    2. Leader (the Out of Town Ride Coordinator)
    3. Mileage
    4. Riders
    5. Average speed - optional
  3. Miles will likely vary between riders, please see instructions at bottom.

Submitting Commuter Miles

  1. If needed, review Guidelines for Commuter Miles (https://wrcc-in.org/page/club-mile-guidelines).
  2. Fill in the fields for:
    1. Date, Ride Type (select Commuter)
    2. Leader (required – this is you!)
    3. Mileage
    4. Notes (optional)
  3. Miles for Commuting should be submitted monthly, quarterly, semi-annually or annually.
    1. There is no need to submit individual rides for Commuter Miles ridden – simply the lump sum over a period of time.

What to do when mileage varies amongst riders

  1. Submit core group of cyclists as above with the Leader Name accounted for
  2. Submit second (or more) forms with the cyclists who completed the variable miles
  3. Subsequent mile submissions must not have Leader Name repeated to prevent counting for multiple rides lead when not applicable.

Tips for Entering Riders

  1. Begin by typing the name of each cyclist, including the Leader and Sweep, in the “Riders” field.
    1. The name of each cyclist should autofill.
    2. If the name of the cyclist does not automatically fill:
      1. They are likely new to our database and will need to be manually entered by the mileage coordinator.
      2. Please type their name into the “Notes” section.
      3. The mileage coordinator will manually enter the name(s).
